Andgo's Commitment to Privacy

Your privacy is important to us. At Andgo Systems, it is our policy to respect your privacy regarding any information we may collect from you on our website, https://andgosystems.com, and from other sites we own and operate.

Andgo Systems identifies and communicates available shift details to employees and gives you the opportunity to manage your schedule. When you access and use our scheduling services (the “Services”), you agree to let us collect, use, disclose, and retain certain personal information that is given to us by you and your employer. This Privacy Policy provides a basic outline of how and why we do that and how we safeguard your information.

Compliance With Laws

We’re committed to protecting your personal information and complying with all relevant legislation, such as the Personal Information Protection and Electronic Documents Act. We’ll continue to update this Privacy Policy to ensure we can do this to the best of our ability. If we make any changes to our privacy policy, we’ll be sure to let you know. When you continue using the Services after changes are made known to you, you’ll be agreeing to the revised Privacy Policy.

Andgo Systems is a Canadian corporation and is compliant with applicable Canadian privacy laws and the EU’s General Data Protection Regulation (GDPR). As we are a Canadian company and Canada is recognized by the European Union as a destination country with an adequate level of protection for the data privacy of individuals, we are permitted to retain the personal data of EU data subjects in Canada. 

Information Collected by the Andgo Systems Application

We only collect personal information that is necessary for us to provide you with our Services. For the most part, we receive that information – such as your full name, employee number, email addresses (business and/or personal), phone numbers, scheduling details, and other employment information – from your employer.

We may also collect additional personal information directly from you, such as the email address you use to log in to the Services, your notification preferences, your user login credentials and password, and any employment absence-related details you might include in requests for leave. This includes any responses you provide to text messages, interactive voice calls, or emails offering shifts or any responses you may provide to your employer for absence requests. Please do not share any personal or sensitive information in those requests that you would not want your employer or colleagues to see.

We may collect other technical information about you when you use the Services. This information may include the type of device you use to access our services (such as your computer, mobile, or tablet), but it may also include information about the make and model of your device, your operating system, browser type and IP address. We may collect or receive some of this information through the use of analytical technology or cookies to improve your experience when using the Services.

Information Collection and Disclosure to Third Parties

In general, we are going to use your information to enable us to provide you and your employer with the Services. Additionally, there could be circumstances where we are required by law to share some of your personal information. For instance, we may have to disclose personal information in accordance with a court order or a search warrant, or if it is required in the event of an emergency. This information may also be disclosed in relation to a merger, acquisition or sale of some or all of our assets or our business. If the latter happens, we will let you know.

We may use an anonymized history of your interaction with the system when conducting testing or research with respect to the Services. This means that we have removed any personal identifiers that may identify you as a person from the data set used in testing or research. We may also disclose that anonymized data to third parties to assist us with analyzing trends, such as which parts of the Services you and your colleagues use most. 

We may disclose technical performance metrics to third-party services that monitor system performance and alert us of performance problems or errors.

We do not sell or disclose your personal information. If we intend to sell or disclose your personal information for any purposes that is not directly related to the Services, we will obtain your express consent before we do so, and you are in no way obligated to consent to this secondary use of your personal information.

Data Storage

Andgo Systems securely stores your data in Google Cloud Platform (GCP) data centres located in Canada. Google does not have access to customer data, and all storage is encrypted in accordance with GCP’s Encryption at Rest Policy. Andgo Systems will keep customer data such as your name, employee number, email addresses, phone numbers, scheduling details, and other employment information for a minimum of 7 years after its use has been exhausted. Data Rights Under GDPR

Andgo Systems would like to make sure you are fully aware of all of your data protection rights. If you are a resident of the EU, you have additional rights under GDPR:

The right to access – You have the right to request Andgo Systems for copies of your personal data. We may charge you a small fee for this service.

The right to rectification – You have the right to request that Andgo Systems correct any information you believe is inaccurate. You also have the right to request Andgo Systems to complete the information you believe is incomplete.

The right to erasure – You have the right to request that Andgo Systems erase your personal data, under certain conditions. Andgo is, however, permitted to retain your personal data if it is absolutely necessary to provide you with our Services, or if there are other legal requirements to retain your data.

The right to restrict processing – You have the right to request that Andgo Systems restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to Andgo Systems processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that Andgo Systems transfer the data that we have collected to another organization, or directly to you, under certain conditions. Andgo will endeavour to deliver you the information in a common, machine-readable format.

If you make a request, we have one calendar month to respond to you. We also have the right under GDPR to extend the response time if your request is unusually large or if fulfilling your request would unreasonably interfere with Andgo’s day-to-day operation. California Privacy Rights

This section, provided to California residents, supplements the information provided in the Andgo Systems Privacy Policy and applies to users resident in the state of California who visit https://andgosystems.com, and other sites we own and operate. You have the right not to be discriminated against for the exercise of your privacy rights. 

We do not sell or disclose your personal information. If we intend to sell or disclose your personal information for any purposes that is not directly related to the Services, we will obtain your express consent before we do so, and you are in no way obligated to consent to this secondary use of your personal information.

Right to Access - You have the right to request access to the personal data that Andgo collects, uses, or discloses about you. 

Right to Delete - You have the right to request that Andgo Systems deletes personal information that it collects from you. Andgo is, however, permitted to retain your personal data if it is absolutely necessary to provide you with our Services, or if there are other legal requirements to retain your data.

Right to Modify/Correct - You have the right to request that Andgo Systems correct inaccurate information that it maintains from you. 

Right to Opt-out of Sale or Sharing of Personal Information - You have the right to opt out of the sale or sharing of your personal information to or with third parties. 

Request for Access, Deletion, or Correction - California residents can make a deletion, correction, or access request by contacting Andgo Systems at privacy@andgosystems.com In order to complete your request, Andgo Systems may need to verify your identity. Please be aware that Andgo Systems may request additional information for the purpose of verifying your identity.

Right of Data Portability – California residents may request a copy of the personal information that they provide to Andgo Systems in a machine-readable format.

Managing Cookies

Cookies are text files placed on your computer to collect standard internet login information and visitor behavior information. When you visit our website, we may collect information from you automatically through cookies or similar technology. 

You can set your browser to not accept cookies. Please be aware that there may be some loss of functionality if cookies are disabled. 

Safeguarding Your Information

We use best practices in storage and encryption to protect your personal information from unauthorized access, collection, use and disclosure.

Our team is trained to understand the importance of privacy and will use your information only to the extent necessary to provide the Services. We only retain personal information for as long as necessary to provide the Services and take appropriate safety measures when destroying or disposing of your information. We take steps to ensure that your information is only accessible to your employer in accordance with their scheduling policies.

Your privacy is important to us, and we go to great lengths to safeguard your information. We review our security measures regularly and will update them as our business, the law and technology develop.
